Privacy Policy

Last updated 28 September 2026

We value your privacy and treat your data with care, just as we do in our events. This policy explains why we collect information, how we use it, and your rights.

No Sex Gay Weekend is run by Get Social Ltd, which is the controller of your personal data.

1. What We Collect

We collect only the data we need to run events smoothly and safely, including:

  • Contact information: name, email, phone
  • Booking details: event dates, ticket type, amount paid, your answers to booking questions and payment references
  • Attendance: which events you booked and attended, and whether a weekend balance is still owed
  • Survey responses: preferences, dietary requirements, accessibility needs
  • Event media: photos and videos taken at our events, and whether you have asked not to appear in them
  • Communication records: emails or messages with us

Special category data. Our events are for gay men, so booking, attending, appearing in event photos or joining our mailing list can reveal your sexual orientation. Dietary and access needs can reveal health information. UK GDPR gives this data extra protection. We only process it with your explicit consent, which you give when you book, sign up or fill in our forms, and you can withdraw it at any time.

If you work for a venue, supplier or organisation we might work with, we hold your business contact details: name, job title, employer, work email and work phone.

2. How We Collect Data

  • Bookings through Luma, our event booking platform (card payments on Luma are processed by Stripe)
  • Bank transfers through Wise, for larger payments such as weekend balances
  • Survey and feedback forms before and after events
  • Mailing list sign-up
  • The contact form on this website
  • One-to-one communications via Gmail, WhatsApp, phone and other means
  • At events, where we take photos and videos
  • Business contact details of people at venues and suppliers, from Apollo.io (a business contact database) and from their organisation's own public pages
  • Visits to this website (see section 9)

3. Why We Collect It (Legal Basis)

  • Contract: to confirm bookings, send tickets, manage refunds
  • Legitimate interest: to create a safe, inclusive event environment using surveys
  • Legitimate interest: to contact people at venues and suppliers about working with us
  • Consent: for marketing emails, analytics cookies and use of event media
  • Explicit consent: for special category data: what a booking, our mailing list or event photos reveal about your sexual orientation, and any health, dietary or access needs you tell us about
  • Legal obligation: for financial record-keeping

4. How We Use It

  • Confirm and manage your booking
  • Share event updates and reminders
  • Plan logistics (e.g. meals, accessibility)
  • Send occasional event newsletters (if opted-in)
  • Create social posts and marketing materials using event media, except of anyone on our no-photo list
  • Contact people at venues, suppliers and partners about working with us
  • Meet legal and tax obligations

5. Sharing Your Data (Processors)

We do not sell your data. We share it only with the service providers below, which we use to run our events, this website and our mailing list:

Luma

Event pages, bookings and memberships. Luma holds your name, email and answers to booking questions and, if you become a member, your membership tier and membership payments.

Stripe

Processes card payments made through Luma, which are paid into our own Stripe account. We see your name, the amount and a payment reference, never your full card details.

Wise

Bank transfers for larger payments. Wise is a regulated payment provider and is responsible for its own handling of your payment details.

Vercel

Hosts this website, and processes your IP address and request logs to serve pages to you. It also stores event photos and videos and our notes on who appears in them, and runs Vercel Web Analytics: a page-view count for every visitor that sets no cookies and holds no identifier tied to you, built instead from a hash that resets every day. Section 9 has more.

Google Workspace

Email, and the forms and spreadsheets we use for event surveys and feedback, including any dietary or access needs you tell us about.

Google Analytics

Tells us how people find and use this website. Section 9 explains what it receives, and when it sets cookies.

Mailchimp

Runs our mailing list. It also holds what our feedback forms record against your email: the event you attended, how you rated it and your home city. And it holds whether you have asked not to appear in photos. That is our no-photo list, which we check before publishing any photo or video. When you book an event through Luma, Mailchimp records which event it was. Giving feedback or booking does not add you to the newsletter; only signing up and confirming does. Any access needs you mention stay with our feedback records and are not sent to Mailchimp.

Resend

Sends us the messages you submit through our contact form, and, if our feedback spreadsheet cannot be reached, your feedback answers, including any access needs. Resend keeps a copy of sent mail in its own dashboard.

Apollo.io

Holds the business contact details of people at venues, suppliers and partners, logs the emails we send them, and is also where some of those details come from. Our hi@nosexgayweekend.com mailbox, which also receives mail sent to partners@, press@ and privacy@, and hello@getsocial.uk, the company inbox our mail is forwarded to, are connected to Apollo. So if you email us, Apollo can read your message and its details (your name, email address and when you wrote), and under its own privacy policy may add business contact details from it to its contact database. We do not put booking, payment or survey data into Apollo. If you would rather Apollo did not process your email, tell us at privacy@nosexgayweekend.com, or contact Apollo at privacy@apollo.io.

SociableKit

Supplies the public Google reviews shown on this website, which include each reviewer’s name and what they wrote. Your browser does not connect to SociableKit.

YouTube

Videos on this website are embedded from youtube-nocookie.com and load only when you press play. Once you do, YouTube receives your IP address and may set cookies, under Google’s own privacy policy.

Squarespace

Ran our previous website. We keep its historic bookings, orders and form entries for up to 7 years, like other booking records, and collect nothing new through it.

6. International Data Transfers

Your data may be stored or processed outside the UK/EU (e.g. in the U.S.). Where it is, we rely on the safeguards UK data protection law requires, such as the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, or the UK Extension to the EU-US Data Privacy Framework. Ask us at privacy@nosexgayweekend.com if you would like details for a particular provider.

7. Data Retention

We only keep your data as long as it’s needed for the purposes we collected it for, and sometimes longer if we’re legally required to.

Here’s how that breaks down:

  • Booking & payment info: kept for up to 7 years, as required by accounting and legal obligations
  • Attendance, the record of which events you booked and attended: kept for two years after the event, then deleted
  • Survey responses & event notes: we may keep these indefinitely, to help us improve future events, unless you ask us to delete them
  • Marketing emails: we'll keep your contact info until you unsubscribe (you can do this any time)
  • Event photos & videos: published unless you have asked not to appear; removed from anything we control if you change your mind
  • Business contacts at venues and suppliers: kept while we're working together or talking about it, removed after 2 years with no contact, or straight away if you ask
  • General contact or community data: if we haven't heard from you for 2+ years, we may clean out old records unless there's a good reason to keep them (like a past booking)

We don’t delete things automatically without good reason, but we do aim to be responsible with your data.

Let us know if you ever want to access, update, or remove something.

8. Your Data Rights

Under UK GDPR, you can:

  • Access or correct your data
  • Request deletion or restrict processing
  • Withdraw consent for marketing or media usage, or for us to hold special category data about you
  • Object to certain uses, including any approach to you about working with us, which we stop straight away
  • Request data portability
  • Report a complaint to the Information Commissioner's Office (ICO)

To exercise these rights, email privacy@nosexgayweekend.com.

9. Cookies & Tracking

This website stores as little on your device as it can. Two measurement tools run here, and they work differently.

Vercel Web Analytics runs for every visitor and counts page views for the site as a whole. It sets no cookies and keeps nothing that identifies you: Vercel builds each day’s count from a hash that changes daily, so it cannot tell the same visitor apart from one day to the next.

Google Analytics only runs if you accept it in the banner. Before you do, nothing loads from Google and nothing about your visit is sent to it. If you accept, its script loads, it sets the _ga cookies below, and it starts receiving page views, including the page address, the site you came from and your IP address.

nsgw_consent

Stored on your device, not a cookie. Remembers whether you accepted or declined analytics, so we do not ask again. Kept until you change your choice or clear your browser storage. Necessary for the site to respect your choice.

_ga, _ga_<ID>

Google Analytics cookies. Tell one visitor from another so we can count visits. Set only once you accept analytics in the banner, and cleared straight away if you later withdraw. Otherwise last up to 2 years.

nsgw_utm

Stored for the session. If you arrived through a campaign link, remembers which one and passes it to our booking page, so we can see which campaigns lead to bookings. Cleared when you close the tab.

nsgw_popup_v1

Stored for the session. Remembers that you closed our mailing list pop-up, so it does not appear again. Cleared when you close the tab.

admin-session, nsgw_edit_mode, nsgw_edit_refs

Set only for organisers signed in to the site’s admin area. The sign-in cookie lasts 7 days.

Once Google Analytics is running, a link from here to our Luma booking pages also carries your analytics identifier, so a booking can be counted against the visit that led to it. That identifier only ever goes to Luma once you have accepted analytics; it is never added to a link before then. We do not use Google Analytics for advertising, and advertising storage is always off.

You can change your choice at any time with “Manage cookies” in the footer. If you withdraw consent, we clear the _ga cookies above immediately, on this site and on the domain as a whole, rather than leaving them to expire on their own.

When you book through Luma, pay through Stripe or press play on a YouTube video, those services set their own cookies. Their privacy and cookie policies apply.

Every link from a Things to do listing to a club's website, Instagram, joining form or booking page, and every affiliate link to buy kit, tickets or accommodation, passes through our own address first so we can count clicks. What we keep is a number per listing, link and day, with no cookie, no identifier and nothing about you passed to the club or the seller. Your network address is held in memory for about a minute, only so one person cannot be counted more than a few times, and is never written anywhere. How affiliate links work here.

10. Data Security

We follow UK GDPR principles (legality, purpose limitation, minimisation, accuracy, storage limitation, and integrity/confidentiality).

Your data is protected by:

  • Secure login and encryption
  • Access restricted to organisers
  • Secure storage via our processors
  • Location and camera details removed from photos before they are published

11. Privacy of Event Media

We take photos and video at our events, and we tell you so when you book. By booking, you agree that photos and video from the event, including ones you appear in, can be published on our website and social channels.

If you would rather not appear, tell us on the day. We add you to our no-photo list and do not publish photos or video showing you.

If you change your mind later, email privacy@nosexgayweekend.com and we will remove media showing you from anything we control.

12. Children & Age

Our events are for adults (18+) only. We do not knowingly collect data from minors.

13. Policy Updates

We may update this policy occasionally. Any significant changes will be posted on our website and, if it affects your data use, notified by email.

14. Contact & Complaints

If you have any concerns or wish to exercise your rights, email privacy@nosexgayweekend.com.

If we cannot resolve your issue, you can contact the Information Commissioner’s Office (ICO).

Get Social Ltd is registered with the ICO as a data controller, registration number ZC255651.
